Separate observations from interpretations
Ask about context
Agree on a next step that can be followed up
“You do not care” is an interpretation. Replace it with a checkable observation: “The last two reports arrived after the time we agreed.” Then pause to hear the context. Ask “What made this step harder?” and “What can we change together next time?” Listening does not require abandoning the agreed standard. Before finishing, confirm who will do what, by when, and when you will review the result. A clear agreement makes follow-up about the work rather than guesses about intent.
